📦 How to Make a Valid Reserve When Receiving a Pallet Delivery
1. Before signing: quick inspection
- Check shrink wrap, carton condition, any visible damage.
- Take immediate photos (even if the driver seems rushed).
- ⚠️ Never sign before a quick visual check.
2. Write a precise reserve on the delivery note
If there’s any doubt or damage, write a clear and specific note on the transport document (CMR or delivery slip):
❌ Wrong example: "Subject to unpacking" → too vague and not valid
✅ Correct example: "Pallet film torn on the right side + bottom carton dented"
If using an electronic terminal: type the reserve yourself or write it on your paper copy + take a photo.
3. Take proof immediately 📸
- Photo of the entire pallet
- Photos showing torn film / damaged cartons
- Photo of the signed delivery note with the reserve visible
4. Notify supplier / carrier within 24 hours
Send an email with:
- Photos
- Signed delivery note with reserve
- Clear description of the issue
Example email:
Hello,
Upon receiving order no. XXXX on [date], we noticed the following:
– [insert your written reserve]
Attached are the photos and signed delivery slip.
Please advise on the next steps.
Best regards,
[Name, company]
⚠️ No written reserve = no compensation possible!
